For over two decades, we have provided riders from around the globe with highly maintained local motorcycles and robust support systems to navigate the unique and demanding terrains of the Indian Himalayas. Our long-standing reputation is built not only on the mechanical reliability of our fleet and the expertise of our local guides but also on our uncompromising commitment to the security and privacy of our customers. Because operating in the high-altitude frontier of Ladakh involves navigating unique regulatory and physiological environments, we must collect sensitive personal, credential, and medical information. This Privacy Policy outlines our strict protocols for the collection, handling, storage, and permanent deletion of this data, ensuring that your journey is secure in every dimension.


2. COLLECTION OF BORDER PERMITS

To legally operate a rented motorcycle or utility vehicle through the sensitive geopolitical border zones of Ladakh, including restricted areas such as the Nubra Valley, Pangong Tso, Dah-Hanu, and the Zanskar region, riders are legally required to obtain military Inner Line Permits. To facilitate these mandatory government clearances on your behalf and to ensure strict compliance with the Ladakh Bike Rental Cooperative Limited regulations, Ride and Fire securely collects photocopies and digital scans of your passport bio-data pages, valid Indian tourist or business visas, national driving licenses, and International Driving Permits. These documents are transmitted solely through secure, encrypted digital channels or handed over physically in our Leh office. They are submitted directly to the office of the District Magistrate and official military border check-posts. We restrict internal access to these documents strictly to our certified compliance staff, ensuring they are never exposed to external commercial networks, marketing databases, or unauthorized parties.


3. MEDICAL RECORD CONFIDENTIALITY

Riding at extreme elevations exceeding eleven thousand feet presents significant physical demands and potential medical risks, including high-altitude pulmonary edema and acute mountain sickness. To safeguard your health and ensure immediate, life-saving medical intervention during emergency situations, Ride and Fire requires the submission of a confidential medical profile. This profile includes your blood group, known drug or environmental allergies, current active medications, and relevant emergency medical history. We maintain absolute confidentiality over this data using rigorous physical and digital security protocols. Digital health profiles are stored on standalone, encrypted local storage drives with zero external network connectivity, while physical emergency medical cards are kept in secure, waterproof tactical lockboxes carried on our support vehicles. Access to this medical information is strictly restricted to our designated convoy doctor and certified Wilderness First Responders who accompany our rental groups and expeditions. Under no circumstances is this sensitive medical data used for promotional, marketing, or general administrative purposes, and it is disclosed to external medical facilities only in the event of an urgent evacuation to a hospital in Leh.


4. THIRTY-DAY DATA SCRUBBING MANDATE

We believe in the principle of data minimization and hold a strict policy against the indefinite retention of personal identification and regulatory files. Upon the successful conclusion of your rental contract and the safe return of your rented vehicle, a thirty-day countdown is initiated. Within exactly thirty days of your rental conclusion, all digital files containing passport photocopies, visa scans, driving licenses, and military Inner Line Permits are permanently and irreversibly scrubbed from our active databases, cloud servers, email attachments, and backup storage systems. Any physical duplicates, printouts, or paper-based permit forms collected during the onboarding process are completely destroyed using heavy-duty cross-cut industrial shredders at our main headquarters on Changspa Road. Ride and Fire retains only basic, non-sensitive financial transaction receipts and rental agreement logs to comply with Indian tax laws and statutory business reporting requirements, ensuring your sensitive identification files are completely eradicated from existence.


5. VEHICLE SATELLITE TELEMETRY

For operational safety and search-and-rescue preparedness in zones completely devoid of cellular network coverage, Ride and Fire equips its convoy support trucks and lead mechanic motorcycles with dual Garmin inReach satellite communication systems. These systems transmit live location coordinates to our central operations desk in Leh to monitor the safety of active routes. We do not track individual participant mobile phones, and we do not store historical location telemetry or travel coordinates once your rental agreement is officially terminated.
